Receptionist/Administrative Assistant

The Administration & Finance team works across the organization to ensure our internal compliance and financial management practices support the ongoing needs of our staff, funders, and clients. Through sound data collection, aggregation, and reporting we provide insights that inform planning and guide organizational strategy.

Position Summary

Community Vision’s work encompasses a variety of programs, initiatives, and projects. We are currently seeking a staff member to join our team as Receptionist (50%) and Administrative Assistant (50%). This person will work closely with both our Office Manager and our Program & Data Analyst to carry out essential administrative tasks and financial/programmatic analyses (investor reporting, government compliance, internal research projects, and more). We seek someone who is excited to learn about community development, lending, and nonprofit finance. This is an entry level position which offers the opportunity to gain exposure to working in the field of economic justice.

This position reports to the Office Manager, and works closely with the Executive Assistant and the Data and Program Analyst.

Primary Reception Responsibilities
This person will serve as the primary office receptionist and provide overall administrative support for the organization to ensure the smooth flow of all office functions.

Reception Duties

  • Answer phones; greet visitors, respond to inquiries
  • Route calls appropriately
  • Prepare outgoing mail and packages, open and sort incoming mail and packages
  • Record incoming checks into journal
  • Maintain the reception area

Office Administration Tasks

  • Schedule and coordinate meetings, order food, assist with set up and clean up
  • Support Office Manager with event details and execution as directed
  • Assist and help accommodate any ad-hoc meeting rooms for staff as needed
  • Maintain basic office functions and correspond with vendors for any services needed
  • Monitor any office machines and order service calls as needed.
  • Order office supplies
  • Assist with filing, photocopying, faxing; and mailing
  • Assist accounting department with incoming and outgoing checks and payments
  • Serve as a key conduit for all staff announcements as requested by Office Manager
  • Manage the equipment log and checkout of office equipment to staff

Backup Executive Assistance

  • In the absence of the Executive Assistant, the Receptionist/Administrative Assistant may be asked to assist the President or other staff with scheduling, calendaring and/or special projects
  • Prepare meeting minutes

Compliance & Reporting Responsibilities 
This staff person will also support compliance and reporting activities for various internal and external purposes.

Outcome/Impact Tracking & Analysis

  • Support ongoing collection, aggregation, and analysis of program impact data
  • Participate in continuous quality improvement efforts with all departments on impact/outcome reporting
  • Maintain data quality by running regular reports and sourcing data errors
  • Assist with ad hoc data requests and program reports
  • Assist staff with ongoing monitoring of actual performance to strategic and departmental goals

Financial Analysis/Compliance

  • Assist with the preparation of periodic and annual reporting to investors and funders.
  • Support operations staff with ongoing reporting to government entities, rating agencies, and other third party evaluators
  • Extract reporting requirements from various documents
  • Monitor internal financial statement ratios monthly
  • Support other data and program analysis requests as needed
  • Collect and organize data for grant writing and fundraising applications
  • Conduct client surveys, interviews, and other follow-up outreach

Special Projects

  • Assist staff with special projects as needed

Minimum Requirements

  • High School Degree or GED

Desired Qualifications, Skills & Experience

  • Experience with database or CRM systems (Salesforce, GIS, PolicyMap, etc.)
  • Applicants with an interest in community development finance, nonprofit management, public administration, or similar fields
  • Coursework in nonprofit management, business, finance, accounting, data analysis, database management, community development

Relationships

  •  Position will report to the Office Manager and the Program & Data Analyst with oversight from the Director of Finance & Administration

Hours & Location

  • Full-time (40 hours per week)
  • Office is located in San Francisco, CA

Compensation & Benefits

  • $52,500 – 60,000 Annually plus an excellent benefits package with a commitment to a work-life balance
