VP of Operations

San Francisco, California

The VP of Operations is a new position at Community Vision. The successful candidate for the position will be a thoughtful leader who brings deep, demonstrable experience and skills in operations, growth, and risk management; financial oversight; infrastructure and systems development; IT best practices and integration; Human Resources best practices; personnel management; and facilities management.

This position is part of Community Vision’s Executive Team. The VP of Operations leads a team of 5-7 finance, administration, HR and facilities staff members. This position requires a collaborative leadership style, the ability to guide an active and engaged team, a commitment to promoting professional development and leadership opportunities, as well as the ability to work effectively in partnership across departments/with CV’s broader staff.

We seek a hands-on, solution-oriented person who values the importance of both micro- and macro-level planning. The ideal candidate will have a commitment to and desire to work in a community development organization that focuses on racial and economic equity.

Human Resources Implementation & Development

  • Develop a well-rounded HR function that meets the Organization’s current needs, and strategically prepare Community Vision for the future
  • Hire and supervise Human Resources Manager (new position) who will be responsible for the majority of the administrative and operational HR functions such as record keeping, hiring processes, employee relations, the upkeep of performance management and development systems and employee benefit management
  • In collaboration with the Executive Team, lead staff planning efforts, proactively tending to the needs of employees and the culture of the organization.
  • Oversee all HR systems and policies, ensuring they support the employees of Community Vision and are in alignment with the Organization’s vision and values. These systems include but are not limited to: hiring and termination, performance management and support, professional development, and legal compliance
  • Lead the design and continued improvement of the Organization’s compensation system and employee benefits package
  • Oversee internal employee communications and engagement efforts
  • Ensure all employees have accurate job descriptions and access to professional development opportunities
  • Provide a high level of HR risk management, seeking outside counsel when appropriate

Operations/Information Technology

  • Supervise Office Manager and Administrative staff
  • Oversee facilities in three locations, including appearance, functionality, and safety of our offices
  • Oversee outsourced IT provider and work with office manager to oversee ongoing planning and improvement of technology and IT systems
  • In collaboration with relevant staff, assess business/department workflow and  processes; develop and implement changes that improve data collections, operations, protocols and reporting
  • Review, update, and maintain organizational policies and procedures
  • Manage capital assets and equipment

Fiscal Management

  • Supervise Director of Finance and other members of the finance team
  • Participate in budget forecasting and long-term financial and sustainability planning in collaboration with Executive team
  • Collaborate with finance team on budget preparation, audit readiness and other major projects
  • Monitor, record, analyze and report on activities, trends, and results. Make recommendations for corrective or other actions relating to both revenue generating activities and expenses
  • Create and manage benchmarks and dashboards for budget monitoring and to insure alignment with strategic goals
  • Oversee systems to manage internal controls over financial reporting and financing activities
  • In collaboration with Executive Team and program staff, help to ensure that funds are thoughtfully and creatively deployed for the overall financial health and sustainability of Community Vision
  • Oversee contacts between Community Vision and outside vendors and consultants, ensure compliance with related legal and budgetary issues

Strategy

  • Serve as high-level strategic thought partner and advisor to the President, Senior Vice President, and Board of Directors
  • Serve as a key member of the Executive Team with shared responsibility for achieving Community Vision’s vision and goals
  • Inform and advise the Executive Team on financial and operational health, growth management and the trajectory of the organization
  • Actively support and assist departmental managers, supervisors, and staff in operational planning, maintaining standards for a customer-service driven environment
  • Cultivate an inclusive and collaborative organizational culture that ensures that helps all staff to thrive while meeting organizational goals
  • Represent Community Vision externally at key meeting with allies and funders

Compliance/Risk Management

  • Ensure that Community Vision has proper organizational risk management policies and procedures
  • Oversee all annual insurance renewals
  • Oversee organizational compliance with requirements from funders, investors, regulatory agencies, and other stakeholders

Management/Supervisory Responsibilities

  • This position directly and indirectly supervises 5-7 positions within the Operations area, including finance, administrative and operations staff
  • Manage, recruit, hire, train, and retain the operations staff
  • Ensure a high level of customer service in support of the internal customers, and external stakeholders in Community Vision’s growing organization
  • Interact effectively with employees in order to direct workflow, assess performance, and assign duties
  • Actively model Community Vision’s established Professional Practices in support of the organization’s goals of building racial and economic equity

Relationships

  • The Vice President of Operations reports to the President, and serves as a member of Community Vision’s program management team
  • Lead and manage Operations and Finance staff
  • Report to the Board of Directors and staff board committees as appropriate
  • Cultivate and maintain numerous external relationships with investors, funders, clients, vendors, partners and other aligned organizations
  • Work across departments and regional teams

Minimum Requirements  

  • High level of integrity and commitment to Community Vision’s mission, vision and core values
  • Bachelor’s Degree or equivalent experience
  • At least 5 years of executive/senior level experience as a COO/CFO, Director of Operations, HR Director with operations functions, or equivalent
  • Experience in guiding organizational growth and change management
  • Strong problem solving and group work leadership skills
  • Ability to work independently and as part of a team
  • Effective oral and written communication skills including proper use of communication tools and technologies
  • Excellent organizational skills with the ability to balance and prioritize multiple tasks and requests and meet deadlines in a professional manner
  • Analytical, financial planning, management, and reporting skills
  • Strong experience in Human Resources management
  • Demonstrated experience managing/coordinating IT at a small/mid-sized organization
  • Experience reporting to or engaging with boards
  • Commitment to fostering collaboration and teamwork; ability to inspire and lead cross-functional teams
  • Ability to manage and motivate staff through effective leadership, mentoring, communications, professional development, etc
  • Ability to operate with flexibility, creativity, and accountability while maintaining respect for others’ concerns

Desired Qualifications, Skills & Experience

  • Experience or expertise on issues of racial equity and the intersection of social justice and community economic development preferred
  • Experience or expertise in managing staff/teams working remotely

Hours & Location

  • Full-time position
  • Work hours will be predominantly during regular business hours, although occasional evenings and weekends will be required
  • A flexible schedule may be accommodated
  • Worksite will be at the offices of Community Vision in San Francisco and Oakland
  • Occasional travel outside the Bay Area for site visits, conferences, etc.
